An AI customer support chatbot talks with customers; a help desk helps your team manage enquiries and follow up. Some products combine both, so check the actual workflow before choosing rather than treating the names as mutually exclusive.
A chatbot is the conversation interface. It may answer common questions from approved information, guide a customer through a process or pass the conversation to a person. IBM describes customer service chatbots as software that assists enquiries through text or voice. Its 2025 guidance also recommends making human support easy to reach. A help desk is the team's workspace for handling requests. Depending on the product, it may collect conversations, show their history and help staff follow up. AI can appear inside that workflow as well as in the customer-facing chat. Ask each supplier which of those functions are included in the plan you are considering.
Start with the job that is failing today. If visitors repeatedly ask questions that have reliable written answers, a website chatbot may be the useful first step. If your team loses track of unresolved enquiries, make ownership, queue visibility and follow-up the first things you test. A business can need both.
Map one realistic enquiry from start to finish: a customer asks about a policy, receives an answer, then asks for an exception. Check the source of the first answer, what the customer sees when the chatbot cannot help, and where the conversation appears for your team. Confirm who checks that queue and how quickly they can respond; software does not supply the people or guarantee a response time. Read more about human handoff.
Ask suppliers which channels and integrations work in the plan you need, what information is available to the next teammate, and what happens if an answer is uncertain. Do not assume a chatbot can see a customer's order or issue a refund simply because it can explain a returns policy. Confirm permissions and test any action with synthetic data before relying on it.
Before launch, test documented questions, missing information and explicit requests for a person. Review the answer against the approved source and check the receiving queue. Update the source and repeat the test when policies change. The related testing and handoff guides provide a practical checklist. See the chatbot testing guide and guide to grounded answers.
Compare Chat Support plans and check whether the help desk and handoff options fit your team's workflow. If you need a particular integration or staffing arrangement, contact the team before selecting a plan.
